Vendor Application Form

Cost

  • The cost to host a booth/table at our event is VERY affordable!
  • If accepted, we ask that you send us a $50 deposit, to reserve your spot (and the signed contract) – which is returned to you during the day of the event, after you come and set up.
  • We love the look of many people in and around the park and the village feeling that ensues, so we do not ‘charge’ the vendors.
  • (We are a not-for-profit group though and will gratefully accept any donations that you might choose to give to the festival!)
  • A standard booth generally holds two people, if you have more people/staff at your booth, consider purchasing a wristband/entrance for them to help us out!

Time (into and out of park)

  • Saturday Festival Day – Vendor arrival at the park for 7 am (NO EARLIER) and all vehicles are to be out of the park by 9:25 am.
  • Consider ways to unload your products quickly and remove your vehicle so that others can come in and unload (park on side of drive) with less congestion.
  • Parking for vendors is usually available at the John Mahood School (which is beside the park), the Elmira high school (one and a half blocks away) or the (WMC) Woolwich Memorial Centre.
  • Vehicles are welcome to come back into the park for clean-up starting at 5:15 pm.

Power sources

  • This is a medieval time period, there is no power supplied.
  • If you do require power for your booth, please look into using/renting a small generator that can run quietly so to not disturb the ‘medieval’ atmosphere of our festival.

Size of booths

  • We go through the park every year, prior to the event, to ensure that we can give everyone adequate space for their booths.
  • Most booths come with a standard 10×10 feet (which, due to tree roots and uneven ground are usually 12-15 feet) along the pathway/walkway in Vendor’s Village.
  • We do NOT supply any tents, tables, chairs, etc.
  • We do supply a lovely environment that evokes the spirit of Sherwood Forest.
  • We will have a map, and meet all vendor vehicles as they come into the park, when people arrive someone will direct you to where you will be.
  • If there are any special requirements please let us know via email and/or on the contract so that we can keep that in mind as we plan the spaces out.
  • We encourage you to have a back wall on your booth.
  • We can not guarantee that you will have the same spot if you are a returning vendor.

Booth Styles and Clothing for Vendors

  • We do ask that the medieval atmosphere be maintained as best as possible, remembering this is a FAMILY event, and the event is held in a forested area so we many have sunshine, mosquitoes, or both!
  • We ask that no fantasy (non-human creatures) costumes are being worn and that clothing cover your body, and necklines are modest.
  • All weapons, if worn, must be peace-tied and are not to be used.
  • In keeping with the medieval theme, we would love if your booth appeared medieval, and that any and all display items/flags/products be contained within your booth area.
  • We encourage you to have a back wall on your booth. 

Vendor Merchandise

Weapons

Festival rules dictate that no weapons are to be sold to anyone under 18 years of age, we encourage you to ask for identification!

  • Any metal or replica weapons must be peace tied, if you are unable to do this please ask any of our volunteers and they are more than willing to assist you.
  • All bows must be UNSTRUNG and no arrows can be carried.
  • If the weapon comes in its own box, it would need to be sealed for safety.
  • Toy, wooden, and foam weapons are okay, we encourage parents and children to use care when carrying them around due to the chance of injury.
  • Please share with customers that the toy weapons may need to be peace-tied if it is determined that safety of others may be at stake.
  • Please note that we have had complaints in past years of vendors selling weapons to people under 18 – ask for identification every time!
  • Ensure that the purchasing patron is 18 or older, and if younger – their parent/caregiver (who is of age) is okay with the purchase.
  • Everyone’s safety is our first priority.

Smoking

  • There will be NO SMOKING/VAPING IN THE PARK during Festival times.

Location

  • The address of the park is 17 First Street W., Elmira ON.
  • Note that the entrance that you will use is just before the actual park, coming in by the tennis courts which is just before the stop sign/and driving into the bush area……
  • It is a bit of a hidey hole and it helps maintain our medieval feel!
